Photo Consent for ACO’s Youth Ensembles.

At ACO, we believe that sharing images and videos of our members engaged in musical activities is a wonderful way to celebrate their achievements, promote the orchestra, and inspire future musicians. This page explains why we request your consent, how images will be used, and how you can withdraw your consent at any time.

Why We Ask for Your Consent

We ask for your consent to use photos and videos of our members primarily for the following reasons:

  • Showcasing Achievements: To highlight the talent, hard work, and progress of our musicians during rehearsals, performances, and other orchestra events.

  • Promoting the Orchestra: To attract new members, secure funding, and raise the profile of ACO’s Youth Ensembles within the community and beyond. Visuals are incredibly powerful in conveying the joy and benefits of being part of our orchestra.

  • Creating Memories: To create a visual record of the orchestra's journey and provide members with lasting memories of their time with us.

  • Safety and Transparency: To ensure we are using images responsibly and respectfully, in full compliance with data protection regulations and with the explicit permission of our members (or their parents/guardians, if under 18).

How Your Pictures Will Be Used

If you grant consent, your (or your child's) pictures and videos may be used in the following ways:

  • Website: On our official orchestra website, www.aberdeencityorchestra.co.uk, in photo galleries, news articles, and promotional banners.

  • Social Media: On our official social media channels (e.g., Facebook, Instagram, YouTube) to share updates, promote events, and engage with our community. We will only use our official channels.

  • Promotional Materials: In printed materials such as flyers, posters, brochures, and annual reports, to advertise the orchestra, recruit new members, or seek sponsorship.

  • Press Releases & Media: Occasionally, we may share images with local media outlets (e.g., newspapers, community magazines) for news stories about the orchestra's activities or achievements.

  • Internal Communications: For internal use, such as presentations to trustees, funders, or staff, to demonstrate the orchestra's impact.

Our Commitment to Responsible Use:

  • We will never use full names alongside photos on our public website or social media without specific, additional consent. We may use group photos with general captions (e.g., "Our talented violin section").

  • We will strive to capture images that reflect positively on our members and the orchestra.

  • We will ensure that all images are used in a manner consistent with our group's values and safeguarding policies.

  • We will never sell or license your images to third parties for commercial use without separate, explicit consent.

How to Withdraw Your Consent

We understand that circumstances can change, and you have the right to withdraw your consent at any time.

To withdraw your consent:

  1. Email Us: The easiest way to withdraw consent is by sending an email to the Youth Ensemble Coordinator at aden@aberdeencityorchestra.co.uk. Please include:

    • Your full name (or the name of the member you are responsible for).

    • A clear statement that you are withdrawing consent for photo and video use.

    • If possible, a description or link to any specific images you are concerned about, although we will endeavour to remove all images upon withdrawal.

  2. Contact Us Directly: You can also speak directly with the Conductor, Coordinator or any helper at any rehearsal or event. They will pass on your request.

What happens after you withdraw consent?

  • Upon receiving your withdrawal request, we will endeavour to remove all identifiable images and videos of you (or your child) from our website and active social media channels within 10 working days.

  • Please be aware that it may not be possible to recall materials that have already been printed (e.g., flyers distributed before the withdrawal) or published in external media (e.g., a newspaper article). However, we will ensure no new materials featuring your image are created or distributed.

  • Archived materials may still contain your image for historical record purposes, but these will not be publicly displayed or used for promotional purposes.
